Executive Administrator

Job Description Summary

Responsible for providing support to Strategic Consulting Leadership team and Americas Tenant Rep Platform as needed. The Executive Administrator will work with the Operations Team to provide support and assist in strategic initiatives, as well as play a significant role in increasing productivity for the team.

Job Description

Administrative Support

  • Schedule and organize calendar activities such as meetings, agendas, luncheon arrangements and department activities, resolve scheduling conflicts and take responsibility for keeping executive on schedule
  • Plan and coordinate travel arrangements
  • Prepare business expense reports, track status and settle issues using own initiative and with limited direction from manager(s)
  • Manage invoicing, open AR and revenue tracking
  • Prepare, collect and maintain information for the preparation of confidential reports, proposals, and other materials
  • Respond to inquiries from internal staff

Strategic Initiative Support

  • Collaborate with Americas Strategic Consulting lead and Operations Manager to determine and prioritize business strategies
  • Project Manage strategic business initiatives from development through successful execution
  • Serve as liaison between staff, Strategic Consulting Lead and Operations Manager on project updates, proposals, and planning
  • Anticipate manager(s) and business needs and undertake necessary actions to produce effective results on time
  • Collaborate with Strategic Consulting Partners and Operations Manager to solve problems before they reach the desk of Strategic Consulting Lead
  • Perform additional ad hoc projects as requested

  • Proven experience organizing and coordinating with multiple teams and departments
  • Extremely versatile, dedicated to efficient productivity
  • Experience planning and leading strategic initiatives
  • Demonstrate suitable confidence, experience, and maturity to interface with senior executives
  • Ability to prioritize, work unsupervised and manage a varied workload
  • Ability to multi-task and meet deadlines for multiple projects
  • Experience with project management and solid business judgment
  • Experience with domestic and international travel
  • Experience in MS Office: PowerPoint, Word, Excel and Outlook
  • Comfortable and savvy with technology and willing to troubleshoot problems with smart phones, laptops, and tablets
  • Experience with Salesforce utilization and reporting
