Hillcrest HealthCare System (HHS) is a comprehensive health system providing quality healthcare in northeastern Oklahoma, with the system's flagship hospital, Hillcrest Medical Center, located in Tulsa. POSITION SUMMARY

The Executive Assistant is responsible for the coordination of activities and information flowing to and from the executive offices. The Executive Assistant is responsible for performing high level administrative operational support to the Chief Executive Officer and serves as the liaison representing the executives to the individuals of the public and Hillcrest Medical Center. Manages multiple tasks and projects with competing priorities and deadlines, screening and prioritizing communication from external and internal sources.


Responsibilities

  • Provide administrative support, such as drafting memos and preparing communications on the executive's behalf
  • Uses judgment in assessing the urgency and relevance of the problems brought to the executive suite.
  • Conduct research, compile data, and prepare reports including flowcharts and presentations
  • Serve as a resource person to assist in orientation and new personnel
  • Coordinate interviews, phone messages, mail/written communication, scheduling, and meetings
  • Manage the executive's calendar, including making appointments and prioritizing the most sensitive matters

Qualifications

Education and Experience:

  • Associates Degree
  • One to three years administrative experience

Knowledge, Skills, and Abilities:

  • Problem-solving and decision-making skills
  • Strong organizational skills and ability to multitask
  • Time management and ability to meet deadlines
  • Interpersonal skills
  • Demonstrate knowledge of current trends and practices
